02 Scope of this policy

This policy covers information about people who work for businesses we contact or who contact us, for example importers, distributors, wholesalers and food manufacturers. It applies to our business-to-business emails, to our correspondence with you by email, phone or WhatsApp, to enquiries you send us, and to visits to our website. Our products are offered to businesses, not to consumers.

If you trade as a sole trader or in a partnership, details about your business may also be information about you, and this policy applies to them in the same way.

If you contact us through a third-party platform, such as an online business marketplace, that platform’s own terms and privacy notice also apply to the information it collects.

03 Information we collect

Most of the information we hold is about organisations. Some of it relates to identifiable people in their professional role.

  • Company details: name, website, country and city, type of business, and the products the company deals in.
  • Professional contact details: the names and job roles of business contacts as they appear in the sources listed in section 4 or as given to us, work email addresses, and business telephone numbers.
  • Source records: the public web pages where we found information about each company, the page where we found each email address, and the date we recorded or checked it.
  • Correspondence: the business emails we exchange with you, including dates, subjects, content and the names of any attachments (our system does not save attachments), and any WhatsApp messages we exchange with you.
  • Enquiry, quotation and order records: the products, quantities and delivery terms you ask about, the quotations we send you, and any orders that follow, with their value and their shipping and payment status.
  • Our own notes and assessments: why we think a business may be relevant, whether we have verified its details, the priority we give it, how we classify the messages you send us, the delivery and reply status of our emails, and any fraud or security warnings our system raises about messages we receive.
  • Preference records: opt-out and do-not-contact requests, and addresses we no longer use because our messages bounced or we were told they are the wrong contact.

Our website does not use cookies, analytics or advertising trackers. Its enquiry form does not send or store what you type: it opens your own email app or WhatsApp with the message filled in, and you decide whether to send it. Our website host processes basic technical information about visits, such as IP addresses and browser details, to deliver pages and keep the service secure.

We do not ask for sensitive personal information, such as information about health, religion or political opinions.

04 Where the information comes from

  • Company websites, and the contact details businesses publish there.
  • Trade-fair exhibitor lists, trade associations and chambers of commerce.
  • Public business directories and business-to-business marketplaces.
  • Official trade publications and government sources.
  • You, when you contact us or reply to our emails.

We do not buy or rent email lists, and we do not guess email addresses. We use only email addresses that we found published in one of the sources above, or that were given to us directly. For each address we found, we record the web page where we found it. We use software tools, including AI-assisted research tools, to find and organise publicly available business information.

05 How we use it, and our legal basis

  • To identify businesses that may have a genuine need for the products we source, and to send them a short, relevant business introduction.
  • To answer enquiries and requests for specifications, samples and quotations.
  • To manage our business relationships, orders and correspondence.
  • To keep a record of opt-outs so that we respect them.
  • To protect our business against fraud and to meet our legal obligations.

Before we contact a business, we check it individually for relevance to the products we source, using public information and the software and AI-assisted research tools described in section 4, and we keep a record of the evidence for that check. For many countries, a person also approves each introductory email before it is sent. We limit the number of introductory emails we send. The introductory emails sent by our system are plain text and contain no tracking pixels or tracked links. We do not make decisions that have legal or similarly significant effects on you solely by automated means.

Legal basis

Where data-protection law requires a legal basis, for example in the United Kingdom or the European Union, we rely on the following:

  • Our legitimate interests, for most of what we do: finding business buyers for the products we source and sending them a relevant introduction; answering enquiries and managing correspondence with the business you work for; keeping a record of opt-outs so that we respect them; protecting our business against fraud; and meeting the accounting, tax and other legal requirements that apply to us in India. We balance these interests against your rights and reasonable expectations, and you can object at any time (see section 10).
  • Steps before or under a contract, where you deal with us on your own account (for example as a sole trader) and ask us for a quotation or place an order.
  • Legal obligations, where a law that applies to us requires us to keep or disclose information.
  • Your consent, where the law of your country requires it before a business sends you a marketing email. Where consent is required, we do not send such emails without it, and you can withdraw your consent at any time.

06 Opting out of our emails

Every introductory email we send identifies us, gives our postal address and explains how to stop further emails.

  • Reply with the word “unsubscribe”, or tell us you do not want to hear from us. Our system records the requests it recognises automatically, and we review unclear replies by hand.
  • We act on opt-out requests promptly, and in any case within 10 business days, or sooner where the law that applies to you requires it (for example, within 5 business days in Australia).
  • When you opt out, we stop sending you marketing emails, including introductions and any follow-ups, and normally stop sending them to everyone at your company’s email domain.
  • We keep a record of your request, including your message and your email address or company domain, so that it continues to be respected. Opting out does not by itself delete our other business records about you or your company; you can ask us to delete them. If you do, we keep only your email address or company domain on a do-not-contact list.

You can also contact us by phone or WhatsApp on +91 98916 39248.

07 Sharing and international transfers

We do not sell personal information. We share it only with:

  • Our email provider, GoDaddy (Professional Email powered by Titan), which hosts our mailbox and processes emails on our behalf.
  • Our website host, Vercel, which serves our website and processes basic technical information about visits, such as IP addresses, to deliver pages and protect the service.
  • Software and research tools, including AI-assisted research tools, that help us find and organise public business information. These providers process the information to provide their services to us, under their own terms.
  • Messaging and telephone services, such as WhatsApp, when you contact us or we reply through them. These services handle messages under their own terms and privacy notices.
  • Logistics, inspection, banking and similar partners, when needed to carry out an order you place with us.
  • Professional advisers, such as accountants, auditors and lawyers, where needed to run our business, meet our legal obligations, or establish, exercise or defend legal claims.
  • Authorities, where the law requires it.

The records we keep ourselves are held on our company’s computers in India, and copies of our email correspondence are held in our mailbox with our email provider. If you are outside India, your information is therefore processed in India, where data-protection law may differ from the law of your country. Our email provider, website host, messaging services and software tools may store or process information in other countries. You can ask us, using the details in section 10, for more information about these transfers and any safeguards that apply.

08 How long we keep it

  • We keep business contact records for as long as they are relevant to our trading activity. We review our records at least once a year and delete details that are out of date or no longer needed.
  • Records of orders and transactions may be kept longer where accounting, tax or other legal rules require it.
  • Opt-out records are kept for as long as needed to respect your request. After a deletion request, the record is limited to your email address or company domain.
  • When we delete information at your request, we remove it from our records and from the working files our system creates, and we delete the related emails from our mailbox. The reports our system generates and our rolling backups are removed automatically after about 30 days, so any remaining copies in them normally disappear within that period.

09 How we protect it

  • Our own records are kept on computers controlled by our company and protected by the device’s user login.
  • Our email account password is held in the operating system’s protected credential store, not in our files.
  • Emails between our system and our email provider travel over encrypted (TLS) connections.
  • Our system keeps a log of important actions, and we back up our records regularly.

No method of storing or sending information is completely secure, but we take reasonable steps to protect the information we hold.

10 Your rights, and how to contact us

Depending on where you are, data-protection law may give you the right:

  • to ask what information we hold about you, and for a copy of it;
  • to ask us to correct, complete or update information that is inaccurate, incomplete or out of date;
  • to ask us to delete your information;
  • to ask us to restrict how we use it;
  • where you gave us information to enter into or carry out a contract with us, to receive it in a commonly used electronic format, or to ask us to send it to another organisation;
  • where we rely on your consent, to withdraw it at any time;
  • where India’s Digital Personal Data Protection Act, 2023 applies, to nominate another person to exercise your rights in the event of your death or incapacity.

Your right to object. You can object at any time to our use of your information based on our legitimate interests. You can always object to marketing, and if you do, we will stop sending you marketing emails.

To make a request, write to us using the details below. We may need to confirm your identity. We aim to reply within 10 business days, and in any case within any deadline that applies to you by law.

Depending on where you are, you may also have the right to complain to a data-protection authority, for example the Information Commissioner’s Office in the United Kingdom, or the supervisory authority in the European Union country where you live or work or where you believe the problem occurred. You can do this at any time. Where India’s Digital Personal Data Protection Act, 2023 applies, please first raise your grievance with us using the details below; if you are not satisfied with our response, you may then complain to the Data Protection Board of India.
